How to price a custom printing job without losing your margin

Estimating a vinyl sign or banner is more than measuring a rectangle. A reliable quote includes material and printing costs, wastage, finishing, job setup, artwork, delivery and the profit margin you need to sustain your shop. This guide explains a simple approach, with an example you can reproduce.

1. Measure printable area

Multiply width × height × quantity. Convert all measurements into the same unit before applying an area-based rate. For two panels measuring 5 × 3 feet, total area = 5 × 3 × 2 = 30 square feet.

2. Add actual production costs

Use your own supplier rates rather than market averages. This sample excludes tax:

Cost componentCalculationAmount
Material + printing30 sq. ft. × ₹60₹1,800
Wastage8% of ₹1,800₹144
Finishing2 pieces × ₹70₹140
Setup and labourPer job₹250
Artwork designPer job₹150
Delivery / installationPer job₹120
Other overheadPer job₹100
Total estimated cost₹2,704

3. Calculate the price from your profit margin

Selling price = Total cost ÷ (1 − desired margin). For a 35% target profit margin: ₹2,704 ÷ 0.65 = ₹4,160. Adding 35% to cost is a markup calculation, not a 35% profit margin.

4. Evaluate a discount before agreeing

A customer discount reduces the profit remaining after costs. An 8% discount from ₹4,160 gives a quoted price of ₹3,827.20 and estimated profit of ₹1,123.20 (about 29.35% of the quoted price). Check the minimum acceptable margin against your costs before offering a discount.

5. Send a clear quotation

State the job description, quantity, dimensions, quoted total, whether taxes are included, quotation validity, payment terms and delivery conditions. Keep internal cost and profit details off the customer-facing quotation. Confirm any applicable tax treatment separately with a professional.
